At 7.15am on a Monday, a plumber needs access to a plant room. The building manager is off site, the spare key is missing, and a resident is waiting for a water issue to be fixed. This strata access control case study examines a familiar problem for body corporate and strata managers: access is essential to building operations, yet keys make it difficult to control.

The building: busy common areas, limited visibility
The strata scheme in this case study is a 96-lot apartment building with basement parking, pedestrian gates, lifts, a pool area, bin rooms, electrical cupboards, a communications room and several plant rooms. It is managed by an external strata manager, supported by an on-site building manager three days a week.
Access requests come from many directions. Residents need replacement garage remotes. Cleaners require access before business hours. Fire technicians, lift contractors, plumbers and electricians need entry at different times. Letting agents occasionally need keys for inspections. Committee members expect the manager to know who has access to common property and why.
On paper, the building had a key register. In practice, it was incomplete. Keys were signed out, copied by former contractors, returned late or not returned at all. The master key was kept in a locked cabinet, but the question remained: who had access to the cabinet key?

Starting with access rules, not hardware
The installation itself was only part of the project. The more valuable work was agreeing on who should access what, and under which circumstances.
Regular contractors were added with defined access profiles. One-off tradespeople were given temporary permissions. Former suppliers were removed from the approved list. Emergency access procedures were documented so an urgent request could be handled quickly without bypassing the system.
This step matters because digital access will not fix unclear building processes on its own. If no one knows whether a contractor is approved, or who can authorise work after hours, the technology cannot make that decision. It can, however, make approved decisions faster, more consistent and easier to audit.
What changed for the building manager
The first improvement was time. Routine access no longer required a trip to site, a key collection appointment or a follow-up call to confirm the key had been returned. The building manager could issue access from a mobile or computer and concentrate on work that required an on-site presence.
The second improvement was accountability. Each authorised access event created a record. If there was a question about a service visit, the manager had a clearer starting point than a handwritten register or a memory of who borrowed a key weeks earlier.
The third improvement was control over changing circumstances. A contractor who was no longer engaged did not need to return a physical credential before their access could be removed. The trade-offs a strata scheme should consider

The right scope depends on the building layout, access volume, existing door hardware and budget.
Reliability should also guide the decision. Property access equipment needs to handle real conditions: early-morning trades, rain, dust, frequent use and occasional urgent call-outs. A consumer lock designed for a front door is not always suited to shared property operations.
